Background
Goldsmith Williams is a leading law firm specialising in conveyancing, remortgage, personal injury and wills. It is on the legal panel of every leading building society, bank and centralised lender, and acts for a wide network of mortgage advisers, packagers, networks and accident claim companies. It is based in Liverpool and employs 270 people.
The Challenge
Goldsmith Williams is a longstanding Document Exchange Member. However, it was aware that its address book needed to be updated as several items of post were being rejected each day due to incorrect contact information. The rejected items had to be sent via Royal Mail, which is more expensive, less reliable, and delivers later in the day.
The Solution
A free mail audit conducted by DX found that more than 30 per cent of post that was being sent from Goldsmith Williams via the Royal Mail could go through the Exchange service.
DX recommended its Address Book Cleansing Service, which checks the client’s database and appends all the latest Member addresses. The service, which is offered free of charge in partnership with address management specialist AFD Software, offers the highest level of data security and takes a few days to complete.
Goldsmith Williams’ Document Exchange database contained 1.4m records prior to data cleansing. The cleansing service found that there were 40,000 incorrect or out of date addresses on their system. It also added approximately 40,000 new addresses.
A further mail audit conducted by DX has found that Goldsmith Williams is now sending up to £12k more mail via the Exchange service each year. This means more of its mail is enjoying the pre-9am service and cost-saving benefits of the Document Exchange.
The Recommendation

In addition to amending 40,000 incorrect addresses, it has also added another 40,000 new contacts.
